Minutes and Notes for August 2015 Meeting

This is a new feature on the Website. This and subsequent monthly posts will hopefully provide you with a summary of the Committee meeting details. If you have any comments please post them on the website or send an email to admin@pioneertrials.co.nz

  • Matters Arising from Previous Minutes
  • Amendment to Minutes
    • Derek would like the previous minutes amended to state that the Western Valley Club Trial was not postponed but “Cancelled” and he felt that he was not consulted about this as Club Captain, therefor resigning from Club Captain and Website administrator.
    • The Committee accepted his resignation letter and thank him very much for all the work that he has done for the Club as Club Captain and administrator for the Website.
    • It has been suggested that a summary of the Committee Meeting Minutes should go on the website.
    • Peter has the club trailer at his residence, and is taking out anything of value before delivering it to Paul for painting.
  • General Discussion Notes (Not formally approved by committee)

    • Health and Safety Document
      • Sandra has updated the Performa for Risk Management at Pioneer Trial Events
      • Sandra also suggested that the Pioneer club use the Health and Safety document that MNZ has on their website with all the details completed and printed.
      • Alan suggested that we have an insurance broker look at the MNZ insurance document as well as Pioneer’s to get the best cover.
      • It was suggested that we should get all family members to sign the MNZ liability form at events.
    • Club Trial
      • It has been reported that we need more Stewards and CoC’s at all Pioneer events.
      • Maybe some of the Clubman riders would be interested in attending the Officials seminar.
      • Sandra suggested that the Officials seminar would be held soon in Christchurch
    • Guidelines to Events
      • It was suggested that we have a guideline of the procedure to cancel events.
      • What constitutes a cancelled event ie: fire, damage to farm, flood.
      • Sandra will send out guideline to indicate what is needed for the event to the event organiser.
    • Next Club Trial
      • The next club trial is being held at Western Valley instead of North Canterbury area.
      • Alan Honeybone is organising the next club trial.
    • Adventure Ride
      • Alan asked what is happening with the Adventure ride that Roy is organising.
      • Roy stated that he has a route in mind and would report back to the committee soon.
    • MNZ Permit
      • Sandra reported that the next club trial in September need a permit and could this be paid in advance.
      • After some discussion it was decided to get MNZ permits paid for the rest of this year.
